Sickness

  • Resident doctors must inform their host (hospital or GP Practice placement) and  People Services Officer in real-time of sickness.
  • The practice should also inform the LET via "NHS at Work" of any sickness taken by resident doctors whilst working in practice.
  • Resident doctors can self-certify for 7 days and must complete a self-certificate form. Any absence over 8 days, needs to be covered with a med3 (GP fit note). It is the resident doctor’s responsibility to ensure a copy is shared with the People Services Officer no later than day 11 of absence. Should the absence be longer-term with multiple fit notes, the resident doctor needs to provide these upon expiry of the previous one otherwise the absence will be recorded as unpaid unauthorised.
  • The LET closely monitor sickness and will hold regular sickness meetings with resident doctors, should absence reach certain levels.

Annual leave

  • Please refer to the annual leave policy.
  • Resident doctors must give sufficient notice for annual leave.
  • Annual leave entitlements will be recalculated by the people services officer for any resident doctors who have had a period of long-term sick.
  • For less than full time workers, the entitlement is pro-rata and is inclusive of bank holidays.
  • Resident doctors need to follow the local protocol when requesting annual leave (e.g., time period to requesting leave, number of people who can be off at the same time etc.).
  • Annual leave should be taken equitably across clinical and educational time. It is not appropriate to take all the clinical sessions for 1 week (3.5 days if FT) off and only work the educational sessions – a full week of annual leave should be taken. If the resident doctor only wants 2 days off and these happen to fall on clinical or educational days that is acceptable. There would be no requirement to rearrange the usual tutorial if the resident doctor is on annual leave for it.

 

Special leave

  • Resident doctors can apply to access a limited number of special leave days (this is pro rata dependant on full time / less than full time) for circumstances such as childcare emergencies or funerals. Please review the special leave policy and apply using the special leave request form.

 

Parental leave (shared parental, paternity, maternity, adoption)

 

 

Less than full time (LTFT)

  • To apply for LTFT training firstly the resident doctor must seek approval from the training programme that they can accommodate this. Once confirmed, the LTFT form will need submitted to the LET. It would then be 16 weeks from final sign off until the less than full time working pattern can commence. Unless in very exceptional circumstances, we cannot amend the 16 week wait.

 

Occupational Health (OH)

  • Should a resident doctor require OH, please contact the People Services Officer.  
  • Please be aware, pregnancy is no longer referred as standard and instead a pregnancy risk assessment should be completed.
  • OH should not be used in order to change placements or working hours, and instead a conversation should occur with the programme support officer at the GP programme and/or Host.
