Less-Than-Full-Time Training (LTFT)

As a GP Trainee you can request to reduce, or increase, your training time at any point throughout your time with the Training Programme. The Lead Employer Trust (LET) policy states that there should be a maximum of one application per 12 month period for changes to hours, however the LET will consider requests to temporarily reduce working hours for an agreed period of time, not usually more than 3 months, in order to manage personal or caring commitments.

You can work any LTFT % above 50%, to work 50% this does require special approval from the postgraduate dean and is time limited.

For any Trainee on a Tier 2 visa, it is the responsibility of the Trainee to check that their salary will not fall below the visa threshold. The Trainee can contact the LET for the most up to date salary threshold information.

Please see below the process for both the initial request to train LTFT and the continuation of training LTFT (to be completed 6 monthly).

 

Initial LTFT Training Request

Request made prior to start of training

If you wish to train LTFT from day 1, you should indicate this on your application form on Oriel at the time you submit your application. The LET will issue you a Stage 1 LTFT training application form alongside a copy of the policy during your pre-employment checks. You will need to complete this application process in full (as stated below) for your LTFT hours to be confirmed.  The Training Programme will then take this into account when allocating your posts, and your Training Programme will be designed to reflect you are working less than full time hours.

 

Request made whilst in training

For approval whilst in training, there are two parts to the process:

 

Stage 1 - Application Form

  • The stage 1 form must be submitted to the LET at least 12 weeks in advance of the date you wish to start LTFT training.

  • Print off the Stage 1 application form, pages 13 - 15 of the policy, Appendix C and complete in full.
  • You must discuss your application with your TPD and Educational Supervisor and provide their details on the form as directed.
  • Your form then needs to be submitted to the LET, for Durham & Tees Valley the HR Officer is Ashleigh McLackland - ashleigh.mclackland1@nhs.net
  • The application for LTFT training is assessed and, if approved, you will be issued with a Stage 1 approval confirmation letter and Stage 2 application form.

 

Stage 2 - Approval Plan

  • The timetable must be clearly completed and agreed with the placement that you will be working in during the LTFT agreement.
  • Once the form is completed it requires a signature from your Educational Supervisor and a Training Programme Director to verify that both parties support your request
  • In addition to the above the Stage 2 application form also requires approval from a Practice Manager, if in a GP post or a Medical Staffing representative, if in a hospital post.
  • Your form then needs to be submitted to the LET, for Durham & Tees Valley the HR Officer is Ashleigh McLackland - ashleigh.mclackland1@nhs.net
  • The LET will issue a Stage 2 approval letter, along with a new work schedule and extension to contract letter (as your CCT date will change). The CCT is adjusted by the PSO for the Training Programme and they will contact you directly to discuss any potential post changes.
  • Information is sent by the HR Officer to the Payroll team to ensure there will not be an overpayment of salary.

 

Continuation of LTFT Training

  • Prior to your rotation to your next post the LET will send you a Stage 2 form, with a deadline specified for its return. This is not a re-application for your LTFT but evidence of your continuation to work the LTFT hours and work with your upcoming placement to design a rota template suitable for your training and the placement.
  • Once the form is completed it requires a signature from your Educational Supervisor and a Training Programme Director to verify that both parties continue to support your LTFT working.
  • In addition to the above the Stage 2 form also requires approval from a Practice Manager, if in a GP post or a Medical Staffing representative, if in a hospital post. These must be from the post you are due to rotate into and not your current post.
  • Your form then needs to be submitted to the LET, for Durham & Tees Valley the HR Officer is Ashleigh McLackland - ashleigh.mclackland1@nhs.net
  • As this is now your standard LTFT working % there is no further adjustment to your CCT date and a work schedule is issued as standard for any new post.
